Your New Role

As the Finance & Operations Manager, you will have responsibilities primarily across Finance, Management and Process Improvement.

Finance Responsibilities:

• Responsible for the management accounts preparation, including and not limited to detailed analysis of fee earner utilisation, WIP & AR analysis by department, billings and collection review, revenue analysis preparation.
• Cash flow reporting on a weekly basis.
• Ensure timely processing of day to day transactions with the support of a finance assistant.
• Balance sheet reconciliations for month end reporting & bank reconciliations weekly.
• Preparation and submission of VAT & VIES returns.
• Compliance with Law Society Solicitors Account Regulations.
• Assist with the preparation of financial statements for year-end audits.
• Ad hoc projects as required.
• Ad hoc requests from fee-earners, business heads and partners as required.
• Credit control.

Management Responsibilities

• Analysis and support for decision-making to the Partners of the Firm and Senior Management Team.
• Overseeing and supporting a finance assistant and support staff ensuring appropriate allocation of tasks.
• Ability to communicate effectively on recommendations for the business to the Partners.
• Interaction with auditors and supervision of members of the finance and admin team.
• Supporting the Senior Managers in the HR function.
• Work with our outsourced IT and case management teams on implementation of system and new process projects.
• Provide support and input to annual budgeting and reforecasting processes.
• Working directly with the heads of business areas on each of their budget area.
• Supporting the Partnership in the day to day running of operational aspects of the Firm (e.g. setting fee earner targets, identifying and allocating resources, procurement, providing input as required to pitches and tenders).
• As part of the HR function, to provide input for salary review, bonus submissions, promotions, recruitment and integration, performance reviews.

Process Improvement:

• Identifying areas where business performance within the Firm could be improved and work with the Partners to compile business cases for change projects and process improvements.
• Acting as firm sponsor as required for process improvement projects, ensuring that the appropriate skills are deployed in order to bring about the required improvement in processes, technology and/or working practices.

What you’ll Need To Succeed

As the Finance & Operations Manager, you will hold the below criteria;

• Qualified accountant (CPA, ACA or ACCA) with 3+ years PQE OR a Part-qualified with 5+ years responsibility for finance and practice management in a firm of solicitors, with strong knowledge of Solicitors Accounts Legislation.
• Strong finance and analytical skills, including experience of providing monthly management accounts.
• Experience of working with solicitors accounts preferred. 
• Strong experience of working with Excel and manipulating large amounts of data.
• Strong and confident communication skills, both orally and in writing, with the ability to interact with senior members of the business and build strong working relationships.
• Experience in handling human resourcing processes including recruitment and performance management.
• Organised and able to handle multiple demands and deadlines simultaneously.
• Ability to convey complex financial and accounting concepts in a clear and straightforward manner.
• The ability to work collaboratively with the business and challenge where appropriate.
• Experience in budgeting and forecasting discussions with senior business managers (experience gained in a professional services environment and with implementation experience of Practice Evolve would be a strong advantage).

Your New Role

As the Regulatory Conduct Officer you will be responsible for processing correspondence, assisting in the initial assessment of complaints regarding the conduct of a solicitor, registering complaints for investigation, handling telephone enquiries from complainants and solicitors as required. 

You will also have administrative responsibility for ensuring that complaint correspondence is retained on the organisation's CRM casework system and for providing support by dealing with enquiries received from solicitors and other parties.

The main duties of the post include:

• To investigate and respond to complaints in accordance with the Solicitors (NI) Order 1976 as amended, under the direction of the Head of Professional Conduct. 
• To have initial contact with members of the public, dealing with first stage calls, to have continued contact with members of the public and solicitors as required. 
• To consider suitable resolutions to complaints under the direction of the Head of Professional Conduct. 
• To provide initial assessments of complaints. 
• To provide Head of Professional Conduct with applicable complaint statistics and data. 
• To assist in the provision of ad hoc reports as requested concerning complaints and other feedback.
• To communicate effectively with members of the public, the solicitor’s profession and third parties both by telephone and in writing.

• Ensure that investigatory processes are carried out in accordance with established organisational procedure, legislative requirements and that methods of investigation comply with best practice.
• To report and present on the findings of an investigation and regulatory items to the Professional Conduct Committee.
• Assume responsibility for personal case load, planning and prioritising as required to ensure timescales and deadlines are met.
• Analyse complex, sensitive and/or contentious information, exercise professional judgement and decision-making in relation to cases.
• Produce analytical and evidence-based reports, with proposed recommendations.
• Draft formal documentation for use within the conduct and complaints process.
• Instruct, support and guide agent solicitors in the preparation of cases referred to the Solicitor Disciplinary Tribunal. This includes attending any review meetings and hearings as a representative of the Law Society.
• Participate in regular casework meetings, reporting to management with recommendations and providing up to date accurate information about cases.
• Maintain full and accurate records securely in respect of all investigations, whether kept manually or electronically, in line with information governance policies and to ensure accurate statistics can be produced.
• Maintain confidentiality.
• Compile and analyse statistics relating to the work of the conduct department.
• Undertake other duties that may reasonably be requested which are appropriate to the level of the post.
• Respond proactively to colleagues, participate in team working, work to corporate policies and procedures and contribute to the business of the Law Society.
• Participate in internal and external project groups as required.
• Continually review processes and procedures and develop frameworks and tools for their improvement.

Our client is a leading organisation that supports people affected by crime in NI.  They’re recruiting for a lawyer (Solicitor or Barrister) to join their team on a new project scheme to provide publicly funded independent legal advice and advocacy to child complainants in serious sexual offence cases.

Duration:                   Fixed Term Contract 30^th November 2025 - with possibility of extension, subject to funding.

Salary:                        £39,553 FTE per annum

Your New Role

The main purpose of the role is to prepare and provide informed legal advice to child complainants in serious sexual offence cases as they navigate the criminal justice system, in a way that is accessible and age appropriate to children and young people aged under 18.

The post-holder will manage a caseload and provide direct service to clients and their families from the point that an offence is reported throughout the process up to the commencement of the trial. They may also on occasion provide advice to victims who are considering reporting a crime.

While it is important to emphasise that this role will be based within the organisation, it is also very important that applicants appreciate that this is a legal appointment requiring highly relevant experience. 

Key Responsibilities

• Prepare and provide relevant legal advice, information, and their role and entitlements to child complainants in serious sexual offence cases, pre-report or from the point of referral following the report of a relevant offence, in a way that is accessible and age appropriate to Children and Young People (CYP), their parents and guardians.
• Prepare and provide case-specific legal advice, as required, on disclosure of evidence where personal information would engage a CYP complainant’s ECHR Article 8 rights and on the introduction of previous sexual history.
• Represent and communicate the interests and views of CYP complainants to PPS in respect of issues relating to the disclosure of evidence engaging Article 8 rights or where the CYP complainant wishes to object to the introduction of their previous sexual history.
• Subject to the necessary management direction, prepare instructions to seek Counsel advice where that is considered appropriate and in the public interest in individual cases.
• Support the empowerment of CYP victims in a trauma-informed way, by delivering an adaptable and flexible service with a clear child-centred focus. Ensure that the CYP victim’s voice is heard and taken account of and that their views are represented to PPS or other parties, so they may be taken account of, as appropriate.
• Demonstrable awareness of the entitlements of CYP within the victim charter and working with the ChISVA in ensuring the CYP victim is aware of and understand their entitlements.
• Where appropriate, liaise with PSNI, PPS and the Victim and Witness Care Unit (VWCU) regarding any on-going complaint, in order to track progress through the criminal justice system.
• Occasionally, and where appropriate, observe or attend pre-trial hearings.
• Provide advice to parents and designated appropriate adults, helping them to help their CYP understand the criminal justice process.
• Ensure that at all stages of the CYP complainant’s engagement, services are undertaken in a victim led, trauma informed manner with the needs of the CYP placed at the centre of all actions and decisions.
• Ensure that all engagements are conducted in an appropriate manner according to the age and needs of the CYP, including directly to the CYP and in premises approved and accredited as appropriate for CYP support.
• Ensure that all support is undertaken in conjunction with the provisions of the Statutory Services and avoid, as far is ever possible, duplication of services.
• Prioritise, manage and monitor own caseload effectively within safe capacity limits, ensuring that each CYP victim receives a service appropriate to their individual needs, as agreed in conjunction with the CYP and their parent / appropriate adult and refer/signpost to other relevant support services as required.
• Ensure safeguarding is prioritised and timely referrals are made in line with local Safeguarding policy and procedures, including keeping any on-going Joint Operating Protocols appraised of changes to safety, risk and service engagement.
• Demonstrate a clear understanding of the myths and facts of sexual violence, domestic violence, rape trauma and the long-term mental health implications particularly on CYP.
• Undertake any other duties that fall within the nature of the role and its responsibilities.
• Contribute to effective information gathering and monitoring performance to facilitate operational and strategic development and evaluation of the pilot; record statistics in line with service provider and funder requirements (anonymised where appropriate)
• Engage with internal and external stakeholders, including the media to promote the experience of victims and effect positive change
• Maintain electronic case management records to a high standard ensuring they are accurate, completed in a timely fashion and follow confidentiality policies and procedures.
• Comply with GDPR, data protection legislation, confidentiality and information sharing policy and procedures and legislation connected to the legal advisor role. Remain up to date and compliant with organisational procedures, policies and professional codes of conduct and uphold standards of best practice.
• Support the promotion of the service with statutory and voluntary partners to help improve the multi-agency response to victims of serious sexual offences. 
• Travel to other Victim Support NI Office locations and outreach locations, where we provide support service will be expected.
• Full compliance with all financial, HR and other VSNI corporate responsibilities.
• Ensure that all Victim Support policies, particularly those relating to Confidentiality, Health & Safety and Equal Opportunities are applied consistently.

Qualifications and Experience

• University level degree, or equivalent, in law or another relevant subject.

And must;

• Be a qualified solicitor or barrister who holds a current NI practicing certificate OR be on the Roll of solicitors in NI and eligible to obtain a NI practicing certificate by the date of appointment.
• Be qualified to practice in Northern Ireland with a minimum of three years’ post-qualification experience gained within the last five years.

Knowledge and Skills:

• Have proven experience of managing large caseloads in respect of advice, review and advocacy, including challenging and sensitive cases.

• Demonstrable understanding of safeguarding protocols and familiarisation with the roles of agencies and services involved in cases where child protection issues are raised and the associated legal responsibilities.
• Awareness of all investigation and protocols, and steps taken by relevant authorities when investigating allegations of child abuse.
• Experience of supporting victims and a commitment to anti-discriminatory practice.
• Current knowledge of the enhanced protection children and adolescents have under the criminal law in NI, specifically in relation to the ‘best interests of the child’ principle;
• Excellent written communication skills including report writing.
• Good crisis management skills and the ability to work effectively under pressure and to deadlines.
• Ability to manage own workload and prioritise tasks; and
• Experience of representing an organisation values and ethos with a range of key internal and external stakeholders.

As the Legal Counsel, you will directly report the General Counsel, in a role that touches all parts of the organisation as well providing opportunity to work with publishers. You will have strong knowledge of Litigation / Disputes and Commercial Law, gained either through in-house exposure / secondment experience or law practice experience.

You will be responsible for reviewing client contracts, with a view to identifying breach of contract / compliance. Identifying key issues and enforcing the terms of the contracts, through composing breach of contract letters, pre-action letters and putting together process checklists and letter templates.

You will work with publishers and all departments, including Licensing, Publisher Services, Accounts, Business Development, IT and International, advising on range of contentious matters and managing litigation and disputes arising withing the business.

Part of this will include assisting with correspondence from publishers and clients.

You will manage business compliance with the requirements of ‘The Collective Management of Copyright (EU Directive) Regulations 2016 (including business Membership Rules, Annual Transparency Report) and with Data Protection laws (including the General Data Protection Regulation).

You will also advise on copyright issues, acting as a point of escalation for non-compliant organisations (MMOs and licensees), pursuing legal action and assisting the finance team and credit control function, and advise on the suitability of claims for escalation, assist with issuing claims and ensure pre-action protocol is observed.

An important part of the role will be to keep abreast of any changes to applicable laws and relevant court judgements (particularly in relation to copyright and competition law), ensuring that business licencses, policies and procedures are compliant and up to date. As part of this, the incumbent will review and prepare responses to relevant government consultations, as required.

What you’ll Need To Succeed

As the Legal Counsel you will need to hold the below qualifications and demonstrate the below experience;

1. You will be a UK qualified lawyer with 2-7 years post qualification experience.
2. Have extensive knowledge of litigation / disputes law, particularly in relation to contract law, with contracts experience, gained ideally in an in-house environment / secondment or in a law firm.
3. Have sound interpersonal skills, to be able to deal with staff at all levels inside and outside the organisation.
4. Demonstrate an ability to articulate and communicate clearly and with authority.
